How to track who released a drawing automatically.

In this article, you will learn how to use the properties Released By and Released at and display them on your drawings. They will allow you to automatically track your validation process!

Here is a look at what you could achieve by following this tutorial. 

Step 1: Create a part.

Create any geometry in SOLIDWORKS and save it.

Step 2: Create a drawing

You can create one from this part by clicking on New>Make drawing from part.

Step 3 : Create your drawing properties

Go to the custom properties of your drawing  in File > Properties > Custom.

Create properties called Released by and Released at (or any other convenient name).

In the Value/Text Expression Field, in the drop down menu, select respectively : "Approver [1] (ea_releasedby.1)'" and "Approved on [1](ea_releaseddate.1)". 

Step 4: Edit the sheet format

Right-click on "Sheet 1", choose "Edit Sheet Format" and create your titleblock

    Step 5: Add your properties to your title block:

    First, add an annotation by clicking on "Note "and add it in your title block.

    In the Text Format menu, click on the "link to a property " icon. Select "Current document".

    In the "Property name" drop-down, choose the property you created.

    (In this example Released by)


    The displayed value is shown in "Evaluated Value." Click on OK.

    Your property is now successfully added to the drawing background.

    We recommend you to create a template containing this property field, so it's filled automatically for every drawing.

    For 3DEXPERIENCE users:

    Once your drawing is released, you will need to save your drawing again to have the fields visible on the platform. 

    Here is a way to save a released drawing without creating a new revision: 

    Step 1: In SOLIDWORKS, open the MySession Tab, click on the drop down menu and click on settings.

    Step 2: You can then click on Credentials and choose "Owner" for the corresponding collaborative space (in most cases it's going to be "Common Space")

    You will now be able to save Released file. Don't forget to switch back your credentials after saving.
